Need the status of your Canada visa application?

There are a couple of ways that you can find out the latest status of your Canadian immigration visa application: you can visit CIC’s online e-CAS system, which will give you a short summary of which stage of processsing your file has reached (e.g. ‘in process’ or ‘decision made’), or you can request a copy of your immigration file (i.e. your GCMS or CAIPS notes ) which should provide you with a more detailed look at your application status including the date when CIC may deal with your file next.

What is CIC’s e-CAS system?

CIC’s eCAS or eclient system allows you to instantly check the status of your Canada immigration application online at no cost. Unfortunately, it doesn’t actually provide a great deal of information about your application, just what stage of processing it has reached and whether a decision has been made. You can find a link to the eClient Application System on the Citizenship and Immigration Canada website at http://www.cic.gc.ca.

What about the CAIPS / GCMS system?

CAIPS is short for ‘Computer Assisted Immigration Processing System’, which is the name of the computer system historically used by Citizenship & Immigration Canada to process all visa applications in overseas offices, such as permanent resident visas, work permits and study permits. The CAIPS system is being superceded by the new GCMS computer (Global Case Management System) but some older files are still held within CAIPS.

When a immigration application arrives at the visa office, the immigration officers create a file in the CIC computer system. It is this file number that is printed on an Acknowledgement of Receipt (‘AOR’). An applicant’s file number is normally a letter followed by 9 digits, e.g. E 123 456 789 for a PR application, S 123 456 789 for a study permit, or V 123 456 789 for a visitor visa application it will begin with a ‘V’. Newer file numbers often begin with E or EC.

CIC’s computer systems – CAIPS, FOSS and GCMS – maintain all information relevant to your permanent residence immigration or visa application, including :-

  • notes and comments from all the visa officers that have reviewed your application
  • points computations relevant to your application
  • background checks consisting of security clearances and criminality checks
  • medical assessments

How Do I Apply for My File?

Applying for your GCMS file is easy – it takes just 4 simple steps:

  • Download our GCMS note Application Kit
  • Complete and sign the two forms you’ll find enclosed – our CAIPS FileCheck Application Form, and the official IMM5744 Consent Form.
  • Send the two forms back to us via email, fax or mail.
  • Send payment to us via PayPal using your credit card – you don’t need to open a PayPal account to do this!

The Application Kit includes full instructions for completing your application, but these four stages are also explained in more detail below.

1. Obtain the CAIPS FileCheck Application Kit

Our Application Kit is a 5 page guide to applying for your IRCC file. It includes a ‘how to’ guide, a section on frequently asked questions (FAQ), and the necessary forms that you will need to complete – our application form and the official IRCC IMM5744 ‘Consent to an Access to Information Request’ form.

The Application Kit is in Adobe Acrobat (PDF) format – if you don’t already have Acrobat installed on your system, you can download Acrobat Reader free of charge here.

2. Complete the Application And Consent Forms

The Official IMM5744 ‘Consent to Disclosure’ Form

The IMM5744 ‘Consent to Disclosure’ Form is an official Immigration, Refugees and Citizenship Canada (IRCC) form on which you provide your consent for CIC to disclose the information in your CAIPS file to us. IRCC will not release your personal information (i.e. your GCMS file) to us without it as to do so would be a breach of the Canadian Access to Information and Privacy Act. Please be reassured that we can only use this form to assist you in obtaining a copy of your file – we cannot use it for any other reason.

4. Paying for Our Services

We now use PayPal exclusively to process credit and debit card transactions for our clients – it is quick, easy and secure and it means that you don’t have to share your card details with us!  Visit our How To Pay page for further details of how to pay via PayPal.

The Wait

File requests are processed by IRCC in Ottawa, Canada. Most file requests are processed and the files returned to us in around 5 weeks.

Receiving Your File

We aim to email your file to you in Adobe Acrobat (PDF) format the same day we receive it in our office in British Columbia. If you select the ‘CAIPS Premium’ service we will additionally post or fax the GCMS file to you at your request.
